Billing habits that work for a small practice can quietly stop working as it adds providers, locations or payers. Regular checkpoints help you notice early. The list below is a starting point for a conversation with your billing team, not a diagnosis.
Before the visit
- Enrollment status. Are all providers enrolled with the payers they are seeing patients from?
- Eligibility and registration. Is patient information collected consistently at scheduling and check-in?
Claim submission
- Charge capture. Is there a routine to make sure every service is recorded?
- Submission routine. Are claims submitted on a regular schedule, and is anything held back without a reason?
Follow-up
- Denials. Who reviews denied claims, and how are patterns recorded?
- Unpaid claims. Is there a routine for claims that have not been paid or acknowledged?
Payments and reporting
- Posting and reconciliation. Do payments posted match what was received?
- Reporting. Can leaders see, in plain terms, what has been billed, what is outstanding and what needs attention?
When you grow
Adding a provider or location often means new enrollments, new payer requirements and new workflows. Revisit these checkpoints whenever your structure changes, and make sure someone owns each one.
